What we collect

• Adult or guardian name, email, and optional phone number.
• Participant names, whether a participant is a minor, and a minor’s birth year.
• Own launcher, event launcher, or no-launcher choice.
• Required acknowledgements, typed registration signature, submission time, and technical duplicate/abuse-protection values.
• Separately selected adult-contact email update scopes, their exact disclosure text and version, server timestamp, adult contact reference, review and withdrawal history.
• If launcher waiver signing opens later: the exact document version and hash, typed signature, guardian confirmation, and server timestamp.

Why and where

We use these records for event planning, guardian relationships, waiver status, equipment clearance, event check-in, safety administration and participant support. Records are stored in SebaHub’s restricted Convex event workspace and may be matched to an existing adult contact in the SebaHub CRM. Minor details and waiver contents remain restricted to event operations.

General registration does not enrol you in marketing. Two separate, unchecked choices let the adult contact request future Local Mash updates, In the Woods updates, or both. Neither choice is required. Legacy registrations grant no consent. Unchecked boxes do not cancel an earlier choice; a recorded withdrawal or suppression cannot be overridden by a duplicate registration.

Optional updates and withdrawal

An update email must also offer an unsubscribe link. We will process withdrawal requests within 10 business days.

Consent evidence stays in the restricted event workspace. Administrator-only exports are limited to a selected scope and reviewed adult contacts with active consent. They contain adult contact information and consent evidence only, not participant names, minor details or waiver records. No automatic mailing-provider sync or campaign is part of this registration.

Access, retention and questions

Assigned event staff can access only the workspace permissions they need. Restricted exports and sensitive staff actions are audited. Final retention timing is still being set; records will not be kept longer than reasonably needed for event operations, legal, insurance and incident needs.
